Overview

POSITION SUMMARY:

This project leadership role provides strong project management knowledge and proven experience for the IS department and the institute. The focus of this position is: 1) to serve as a senior project manager for large-scale initiatives, 2) represent the Project Management Office (PMO) with the use of the PMO’s proven methodologies and tools, and 3) to support DFCI staff in project management best practices through coaching, mentoring, and training. These skills will be leveraged to assist in the use and continued improvement of standards throughout DFCI. Standards include project charters, schedules, system deliverables, processes, etc. The incumbent will assist teams in project design; aid in the periodic review and auditing throughout a project’s lifecycle; and guide projects in process content, application of tools, and knowledge management.

Incumbent will report to the Manager of the Dana-Farber Cancer Institute (DFCI) Information Services (IS) department Project Management Office (PMO). Work responsibilities include the management of large projects identified by DFCI IS leadership, using the PMO’s established project management methodology.

This role will work closely with a multi-disciplinary team, including IT technical staff, business analysts, institute leaders and external vendors/teams throughout each project, and will manage feasibility, scope, requirements, and schedules to ensure project success.

The estimated duration of this position is 24-36 months.

Project Management Responsibilities and Duties in addition to the Primary Duties and Responsibilities listed below:

  • Manage projects within the context of the larger environment, including competing priorities, staffing levels, and budgetary concerns
  • Fiscal responsibility – must develop and adhere to approved project budget
  • Plan and manage projects following recognized project management methodology
  • Lead projects throughout full lifecycle with respect to scope, schedule, cost, and quality
  • Establish and maintain respectful relationship with project sponsor and stakeholders
  • Collaborate with the business in needs definition, business assessment, requirements gathering, vendor selection, resource allocation, project prioritization, risk analysis and mitigation, implementation, testing, training, and project closeout
  • Become familiar with associated business processes, strategic goals, and systems
  • Proactively identify, analyze, mitigate, and manage risks
  • Navigate and comply with DFCI policies and procedures – finance/budget, infrastructure, human resources, legal and compliance, etc.
  • Identify, prepare, and coordinate all necessary documentation
  • Regularly communicate with project stakeholders regarding schedule, status, issues, risks, scope changes, and milestone achievements
  • Direct cross-functional team resources, manage conflict, and escalate problems to management as needed
  • Ensure quality assessment is performed throughout the project, leading to high customer satisfaction

PMO Support Responsibilities and Duties:

  • Drive the deployment, support, and continuous improvement of standard project management tools, including templates and applications
  • Provide leadership to project managers and technical leads in the development of a project through the review of supporting materials (charters, plans, logs, metrics, etc.)
  • Conduct periodic project reviews and compliance checks at various stages of the lifecycle
  • Develop and deliver project management training classes
  • Assist project team members in the use of PMO software tools (MS Project, Quickbase, RationalPlan, Smartsheet, Confluence, etc.)
  • Communicate the PMO’s mission and purpose throughout the IS and user community
  • Assist other project managers in project reporting and lessons learned
  • Review final project deliverables and assess content for publication within the collaboration space portal for knowledge management and historical archive
  • Identify project planning improvements and deficiencies
  • Provide general direction to staff through coaching and mentoring

Knowledge, Skills, and Abilities Requred in addition to the Knowledge, Skills, and Abilities Required listed below:

  • Proficiency in managing large, complex projects, their dependencies, team members, other resources, schedules, and in prioritizing and delegating accordingly
  • Ability to manage multiple projects simultaneously
  • Diplomacy and professionalism in working with project sponsors, executives, and steering committees
  • Strong project management and productivity tools experience, including Smartsheet, MS Project, Word, Excel, Visio, QuickBase, and collaboration software (ex: SharePoint, Microsoft Teams, Workfront)
  • Accomplished development of charters, project management plans, work breakdown structures, schedules, status reports, success metrics, etc.
  • Experience with managing organizational change
  • Willing to serve as a role model to colleagues and junior staff
  • Notable follow-through and dependability
  • Polished customer service skills, especially negotiation/persuasion
  • Ability to prioritize tasks, motivate staff, and achieve goals and objectives
  • Autonomous decision-making whenever needed, as well as group consensus facilitation
  • Proven analytic and problem-solving skills
  • Desire and ability to coach, mentor, and train other staff members
  • Demonstrated creativity on process improvement initiatives

Responsibilities

PRIMARY DUTIES AND RESPONSIBILITIES:

  • Manages project throughout full lifecycle with respect to scope, schedule, cost and quality. Utilizes recognized project management methodology
  • Coordinates and track project resources across multi-disciplinary teams
  • Manages technical teams’ work, tasks, dependencies alongside stakeholders’ requirements and expectations
  • Drafts and finalizes the project charter with stakeholder input
  • Collaborates with the business in needs definition, business assessment, and requirements gathering
  • Establishes success metrics with project constituents
  • Tracks, manages and communicates key issues and risks with transparency
  • Provides regular project communication updates to core IT team and broader stakeholder groups
  • Coordinates and leads project team meetings, facilitating collaboration, prioritization and guiding issue resolution
  • Provides regular written status reports to project team and other stakeholders
  • Facilitates use case development and workflow mapping sessions
  • Oversees technical specification development including platform infrastructure, integration and application components
  • Manages and track outcomes of technical testing execution
  • Oversees go-live resource coordination and support schedules
  • Oversees and tracks IT related budget activities for the project

Qualifications

MINIMUM JOB QUALIFICATIONS:

  • Bachelor’s degree; Master’s degree preferred
  • 8 years of project management experience, preferably in healthcare or information technology
  • Experience managing medium to large projects (project teams of 12-20 people)
  • Experience in healthcare industry, business process improvement and client management for agency/consulting
  • Certified Scrum Master preferred
  • Project Management Professional (PMP) certification preferred

KNOWLEDGE, SKILLS, AND ABILITIES REQUIRED:

  • Proficient in Microsoft Office applications and scheduling tools (e.g., Microsoft Project or Smartsheet)
  • Proficient in initiating, planning and executing projects
  • Knowledge of project management methodologies and their benefits and application for different projects including agile, scrum and waterfall
  • Understanding of the technology development cycle: Requirements, Design, Development, Testing, Go-live planning and execution preferred
  • Excellent verbal and written communication skills with the ability to communicate effectively with all levels of the organization – executive leadership, senior managers, technical staff and potential end users
  • Ability to draft project charter & manage schedule, risks, issues, budget, status reports
  • Ability to work with a high degree of flexibility and fluidity – adaptable to changing environment and priorities with ability to manage project and project team through the changes
  • Demonstrated ability to direct and manage human-centered product design, development and testing from inception through launch
  • Ability to (act as Agile Product Owner) understand end user needs, set strategy, evaluate ideas, define releases, prioritize features, etc.
  • Ability to (act as Scrum Master) manage a Kanban board, backlog and regular release
